IMPLEMENTATION

Before you implement: start with the workflow

A practical starting point for HMIS, ERP, CRM and hotel PMS projects: understand the work before choosing the software.

Map one complete journey

Choose a common task and follow it from start to finish: a guest reservation, patient registration, sales enquiry or purchase order. Record who enters information, who approves it and where teams need to use it again. Include exceptions such as cancellations and corrections.

Separate essentials from preferences

List the problems the new system must solve. Agree which requirements are essential for launch and which can follow later. Give each essential requirement an observable outcome, such as producing a daily room-status report without copying information between spreadsheets.

Plan for the information you already have

Identify the records that need to move, their owners and the cleanup required. Test a small migration before moving everything. Ask how missing values, duplicate records and opening balances will be reviewed and signed off.

Make adoption part of delivery

Give users time to practise real tasks before launch. Agree who will handle questions, how issues will be reported and what fallback process is available if a critical workflow is interrupted. A useful first step is a requirements workshop with representatives from each affected team.
